Terms of Participation - Trade Mission To Malaysia 2025

By registering and participating in the Trade Mission to Malaysia organized by MIGRAVENTURES CANADA INC., you ("Participant") agree to the following Terms of Participation. These terms are designed to ensure clarity, safety, mutual understanding, and successful engagement during the event. All participants, including attendees, organizers, speakers, trainers, sponsors, exhibitors, vendors, volunteers, and event staff, must abide by these terms at the Trade Mission and other events hosted or sponsored by our sponsors or affiliates. Event staff and their designated representatives will enforce these terms throughout the Trade Mission. We expect cooperation from all participants to help ensure a safe environment for everyone.

1. Organizer Information

These terms are issued by MIGRAVENTURES CANADA INC., also referred as MigraVentures (“we,” “us,” or “our”), including our affiliates, representatives, agents, and event partners.

2. Purpose of the Trade Mission

The Trade Mission to Malaysia is an organized delegation designed to explore international business opportunities, form strategic partnerships, understand the local market environment, and engage with public and private stakeholders in Malaysia.

3. No Guarantee of Business Outcomes
  • Participation in the Trade Mission does not guarantee business success, partnerships, investments, contracts, or specific financial outcomes.

  • All information shared is for educational and informational purposes only.

  • MigraVentures does not provide any legal, financial, investment, or professional advice, and no part of the Trade Mission should be construed as such.

  • Participants are solely responsible for their due diligence and decisions made as a result of participation.

4. Payment, Refund, and Cancellation Policy

4.1 Ticket and Package Purchases

  • All fees paid for participation, including but not limited to registration, access passes, sponsorship packages, and delegate services, are non-refundable.

  • Any promotional offers, discount codes, or special pricing are only valid at the time of purchase and cannot be retroactively applied.

4.2 Duplicate Orders

  • We reserve the right to cancel or void duplicated orders or purchases resulting from user error or system glitches.

4.3 Transfer Policy

  • Tickets or delegate spots may be transferred to another individual with prior written consent. Requests must be submitted at least 15 days before the event via email to info@migraventures.com.

  • All transfers are subject to approval and availability.

4.4 Event Postponement or Cancellation

  • Postponement due to Force Majeure: If the event is postponed due to circumstances beyond our control (natural disasters, strikes, government restrictions, public health crises, etc.), you will be offered:

    • A rollover of your ticket to the rescheduled date; or

    • A credit of equivalent value.

  • Cancellation by Organizer: If the event is cancelled for reasons within our control, participants will receive a full refund, credit, or the option to rollover.

5. Travel and Accommodation
  • Participants are solely responsible for booking and paying for their travel arrangements, including flights, visas, ground transportation, and hotel accommodations.

  • MigraVentures is not liable for any travel-related disruptions, delays, or additional costs incurred.

6. Entry Requirements and Identification
  • Each participant must carry a valid, government-issued photo identification (e.g., a Passport or Driver’s Licence).

  • Names on the registration must match the ID exactly.

  • Failure to produce a valid ID may result in denied access without a refund.

7. Security, Safety, and Conduct at the Event
  • Participants and their belongings may be subject to security screening upon entry.

  • The venue’s safety protocols and our internal security policies must always be followed.

  • Prohibited items, including weapons, illegal drugs, and restricted materials, are strictly prohibited.

  • Attendees must comply with all local laws, customs, and immigration regulations in Malaysia.

8. Professional Conduct and Code of Ethics

As a representative of your business and country, you agree to:

  • Uphold professionalism and cultural respect throughout the Trade Mission.

  • Avoid any conduct that is harassing, discriminatory, illegal, or disruptive.

  • Respect local customs, business etiquette, and all stakeholders engaged during the mission.

8.1 Unacceptable Behaviour

Includes but is not limited to:

  • Harassment (verbal, physical, or visual)

  • Unwelcome sexual advances or content

  • Intimidation or stalking

  • Disruption of scheduled activities

  • Use of profane or offensive language

Violators may be removed from the delegation and banned from future participation without refund.

9. Media, Recording, and Image Release
  • No professional audio or video recording is permitted without written authorization.

  • Attendees may take personal photos using smartphones unless otherwise restricted.

  • By attending, you consent to being photographed or recorded by MigraVentures or its partners for promotional, educational, and archival purposes.

  • You grant MigraVentures a worldwide, royalty-free license to use your image, voice, and likeness in any media, without further consent or compensation.

10. Data Collection and Use
  • Participant data collected at registration or during the event may be used for:

    • Event coordination

    • Partner communication

    • Marketing and future event invitations

  • We do not sell or share personal data with third parties without your consent, except as required for event logistics.

11. Health and Safety Guidelines
  • Masks and vaccinations are optional and based on personal preference, unless otherwise required by the venue or local health authorities.

  • Do not attend the event if you are experiencing symptoms of contagious illness, including COVID-19, or have tested positive in the last 10 days.

  • Participants are encouraged to self-test and stay isolated in their accommodation if feeling unwell.

12. Intellectual Property

All content shared during the Trade Mission, including presentations, brochures, templates, and recordings, remains the intellectual property of MigraVentures or their respective owners. Reproduction or distribution without permission is prohibited.

13. Liability and Indemnity

13.1 Assumption of Risk
By participating in the Trade Mission, you acknowledge and accept the inherent risks associated with international travel, public events, business meetings, and logistical arrangements. You agree to voluntarily assume full responsibility for any personal injury, illness, loss, damage, delay, or expense incurred during or after the event.

13.2 Liability Waiver
You hereby release and hold harmless MIGRAVENTURES CANADA INC., its affiliates, officers, employees, agents, and representatives from any and all liability for:

  • Personal injuries,

  • Property loss or damage,

  • Travel disruptions,

  • Business outcomes, and

  • Any incidental, consequential, or indirect damages related to your participation.

13.3 Indemnification
You agree to indemnify, defend, and hold harmless MigraVentures, its affiliates, officers, agents, and representatives from and against all claims, damages, losses, liabilities, costs, or expenses (including legal fees) arising from:

  • Any injury, damage, or financial loss caused by your actions or omissions;

  • Breach of these Terms of Participation or applicable laws;

  • Negligent, unlawful, or intentional acts by you or your representatives during the Trade Mission.

14. Insurance

By participating in the Trade Mission, you agree that you carry sufficient insurance coverage to cover all aspects of your participation, including but not limited to:

  • Travel insurance for trip delays, cancellations, and lost baggage.

  • Health and medical insurance valid for international travel and emergencies, and

  • Business-related insurance, as appropriate to your activities, materials, or representation during the Trade Mission.

You acknowledge that it is your sole responsibility to ensure that such coverage is valid, adequate, and active for the duration of the event. MigraVentures assumes no liability for any losses, claims, or damages that may have been covered by appropriate insurance but were not obtained.

Proof of insurance may be requested at any time, both before and during the Trade Mission. Failure to provide such proof may result in exclusion from certain activities or the event entirely, at your own expense.

15. Business Success Fee Agreement

If a participant enters into a Memorandum of Understanding (MoU), Letter of Intent (LOI), partnership agreement, supplier contract, investment agreement, or any formal business deal during the Trade Mission or within three (3) months following the event as a direct or indirect result of their participation:

  • The participant agrees to notify MigraVentures in writing within ten (10) business days of the date the deal is signed.

  • The participant further agrees to pay MigraVentures a success fee equal to ten percent (10%) of the total monetary value of the business deal.

  • This applies to single transactions, ongoing contracts, recurring service agreements, or staged investment commitments, based on the total committed value.

Confidentiality of Deal Terms
All information and documentation shared with MigraVentures regarding such agreements will be treated as strictly confidential and used solely to verify the applicable success fee. MigraVentures agrees not to publicly disclose or share any sensitive deal information without the participant’s prior written consent.

Discretionary Exemptions
MigraVentures reserves the right to grant exemptions, discounts, or modifications to this success fee requirement at its sole discretion, provided such exceptions are mutually agreed upon in writing by both parties before or after the agreement in question.

Failure to disclose a qualifying business agreement or to remit the success fee may result in legal recourse and disqualification from future events or services offered by MigraVentures.

16. Others
  • Additional Responsibilities: Participants are solely responsible for the following costs, which are not included in the standard offering:

    • Additional transportation and lodging;

    • Shipping, handling, customs clearance, or taxes for any materials;

    • Removal and disposal of display or promotional items from event venues;

    • Any other miscellaneous expenses beyond what is expressly included.

  • These Trade Mission terms and conditions of participation will be governed by and construed in accordance with the laws of Ontario, Canada.

  • This Agreement represents the entire agreement between MigraVentures and the participant regarding the Trade Mission.

  • We reserve the right to update or revise these Terms of Participation at any time. Updated terms will be posted on our official website and communicated via email if necessary.
